Set up an employee for time tracking and POS clock-in
Create an employee with a PIN, hourly rate and full national ID in the back office, let them clock in and out at the POS with their PIN, and review hours in the Staff List.
With NordPay POS your staff clock themselves in and out right at the till, while you keep track of hours in the back office. Here is how to get started.
Step 1 – Create the employee in the back office
- Go to Users and click Create User.
- Under Basic Information, fill in First Name, Last Name and Display Name (the name shown on shifts, receipts, etc.).
- Under Security & Access, choose a Role (Admin or Cashier) and set a PIN Code (4–6 digits). This is the code the employee uses to clock in and log in at the POS. You can also add an Access Card Number if you use a card reader.
- Under Sensitive Information, fill in the National ID / Social Security Number field with the employee's full 11-digit personal number (fødselsnummer). This information is only visible to administrators.
- Under Compensation & Banking, set the Hourly Rate.
- Click Create User to save.
Step 2 – The employee clocks in at the POS
- At the till, open the staff list using the clock icon (Employee List).
- Tap Clock In New Employee.
- Enter the PIN on the keypad (or scan the access card) and tap Clock In. The employee now appears under Currently Clocked In.
- At the end of the shift, open the staff list again, find the name and tap Clock Out.
Step 3 – Review hours in the back office
- Staff List → Currently Clocked In shows who is on shift right now, with clock-in time and hours worked.
- Staff List → Timesheet shows completed shifts. Filter by date and employee, and export to Excel, CSV or PDF for payroll. The national ID is included as Personnummer.
Good to know – staff register requirement
In Norway, certain businesses – including food-serving venues (restaurants/cafés), hairdressers & beauty, and car repair shops – must keep a staff register ("personalliste") with each employee's name and full 11-digit personal number (fødselsnummer), available for inspection by the Norwegian Tax Administration (Skatteetaten). So always fill in the complete personal number – not just a birth date or a partial number.
